We store our records so why do we need to shred them?
The period of time that business records are stored is normally determined by a retention schedule that reflects the records’ usefulness to the organisation as well as any legal obligation, for example the retention of financial accounts. From a risk management perspective, once this period has passed, the only acceptable way of discarding these records is to destroy them using a method that ensures their complete destruction. Documenting the exact date and method used for destruction is not only prudent but a legal requirement.
Why should I use a BSIA registered company to do my shredding?
The BSIA (British Security Industry Association) is the professional trade association for the security industry in the UK. Its aim is to help its member companies succeed in an ever-changing and highly competitive business environment. A vitally important element of this is ensuring its members provide the highest possible standard of products and service to their customers. Over 500 BSIA members are responsible for more than 70% of UK security business, including CCTV, access control, manned security, information, data destruction, physical security, cash-in-transit, alarm manufacture, distribution and installation.
We use a recycler for our document destruction so why would I need a shredding service?
Recycling services are not designed to provide security. Company material is stored and transported in its entirety and therefore any confidential information it contains is unsecured and open to scrutiny.
We have in-house shredding facilities so why should I use your service?
In-house shredding can pose a health and safety risk to the personnel involved exposing you to the risk of expensive litigation. It is much more cost-effective to deal with a shredding company. Amortisation of a shredder, as well as labour, maintenance and disposal costs are usually much higher than expected - not to mention the noise, mess and dust produced by an office shredder and the fact that employees need to separate paper, remove paper clips and staples, etc.
Who needs shredding services?
Under the Data Protection Act, any organisation that handles customer, employee or company information should consider a secure data destruction programme. Shredding of confidential data will help protect your organisation and your employees from identity theft, government fines, legal actions, damaging PR, and exploitation by your competitors.
If you take our documents away, how do we know they're shredded?
Though many people give the benefit of the doubt, this is a very serious question. YOU CAN NEVER BE CERTAIN, which is why you should always use a BSIA or NAID, certified company. These organisations abide by a code, which ensures that the destruction process is carried out correctly.
How often do you come to collect and shred our materials?
This depends on each individual organisation and the amount of sensitive information they produce. We would determine the frequency and volumes of data that you generate and schedule our visits accordingly – whether it be daily, weekly monthly, quarterly or even annually, quite simply we tailor the service to suit you.
Do I have to remove binding, paper clips or staples from my documents?
No.
